The Commercial Cleaning Checklist Every Business Should Run
Commercial cleaning is more about consistency than effort. A facility that follows a clear daily, weekly and monthly checklist looks finished every day. One that cleans only when something looks dirty is always playing catch up. The right checklist also makes it easier to onboard new janitorial staff and benchmark contracted cleaners.
Daily Tasks
- Empty all trash bins, replace liners
- Wipe high touch surfaces (door handles, light switches, shared keyboards)
- Vacuum carpeted areas (offices, lobbies, walkways)
- Sweep and damp mop hard floors in entrances and bathrooms
- Restock toilet paper, hand soap, paper towels
- Wipe and disinfect bathroom counters and sinks
- Clean glass entry doors and visible mirrors
- Tidy break room counters and tables
Weekly Tasks
- Detail vacuum (corners, baseboards, under desks) with a quality commercial vacuum
- Damp mop all hard floors with appropriate cleaner

- Clean refrigerator interiors
- Dust horizontal surfaces (filing cabinets, bookshelves, ledges)
- Vacuum and wipe HVAC vents
- Clean and treat floor drains
Monthly Tasks
- Burnish or buff finished floors (VCT, terrazzo) with a floor burnisher
- Spot clean walls (above light switches, around doors)
- Dust HVAC return grilles and replace filters
- Detail clean restroom partitions and dividers
- Sanitise trash bin interiors
- Inspect and clean entry mats
Quarterly Tasks
- Hot water extraction on all carpeted areas with a carpet extractor
- Strip and refinish hard floors
- Deep clean restroom tile and grout (often steam cleaned)
- Wipe all interior windows and glass partitions
- Wash exterior trash bins
- Pressure wash entry walkways
Annual Tasks
- HVAC duct cleaning
- Window washing (interior and exterior)
- Light fixture detail cleaning
- Audit floor finish and re strip if needed
- Replace door mats
- Deep clean upholstered furniture
Equipment Per Frequency
Daily and weekly tasks rely on vacuums, microfibre cleaning carts and basic wet mops. Monthly burnishing and floor maintenance need a low speed buffer or burnisher. Quarterly carpet extraction needs a heated carpet extractor. Annual deep cleans benefit from steam cleaners, air scrubbers and dehumidifiers for restoration grade results.
Track and Document
The most overlooked part of a commercial cleaning program is documentation. A simple sign off log per visit, signed by the cleaner and a building manager, is the difference between a vendor relationship that works and one that erodes. Most janitorial software now includes a digital checklist that staff complete on a phone, with photos for evidence on key tasks.
