Office Cleaning Best Practices for a Healthier Workplace

Office cleaning has shifted from "make it look clean" to "actually keep occupants healthy" over the last several years. The post pandemic standard demands better touch point disinfection, more attention to indoor air quality and HEPA vacuum filtration. Here is the office cleaning playbook that meets the modern standard while staying within a typical janitorial budget.

Daily Touch Points

The surfaces that most need attention each visit:

  • Door handles and push plates
  • Light switches
  • Elevator buttons
  • Shared keyboards, mice, phones
  • Conference room remotes and shared touchscreens
  • Coffee maker handles, refrigerator doors, microwave handles
  • Sink handles, soap dispensers, paper towel dispensers
  • Toilet flush handles, partition handles, hand dryer buttons

Use an EPA registered disinfectant with the labelled dwell time. Most disinfectants need 1 to 10 minutes of contact time to kill the rated pathogens.

Vacuum With HEPA

Standard vacuum filters recirculate fine particles back into the room. HEPA filtered commercial vacuums with sealed systems capture dust and allergens that other vacuums put back in the air. The cost difference is small relative to the benefit.

Restroom Standards

  • Daily: clean and disinfect toilets, urinals, sinks, partitions
  • Daily: damp mop floors with disinfectant cleaner
  • Daily: restock paper, soap, sanitary supplies
  • Weekly: deep clean grout, drains, walls
  • Monthly: detail clean partitions, dispensers, toilet flush valves
  • Quarterly: steam clean tile and grout with a commercial steam cleaner

Floor Care

Floor Type Daily Weekly Monthly Annual
VCT Dust mop Damp mop Burnish Strip and refinish
Carpet HEPA vacuum traffic lanes Full vacuum + spot Encapsulation interim Hot water extraction
Polished concrete Dust mop Damp mop Auto scrub Densify and polish refresh
LVT/LVP Dust mop Damp mop Spot scrub Deep auto scrub

Trash and Recycling

  • Empty all trash and recycling daily
  • Replace liners daily (do not wait for them to be full)
  • Wipe trash bin exteriors weekly
  • Sanitise trash bin interiors monthly

Indoor Air Quality

  • Replace HVAC filters per the manufacturer schedule (usually quarterly)
  • Run a HEPA air scrubber in any room with active dust generating maintenance
  • Clean HVAC return grilles quarterly
  • Clean any damp areas immediately to prevent mould

Glass and Reflective Surfaces

  • Daily: lobby and entry glass
  • Daily: shared partition glass at high traffic areas
  • Weekly: most interior glass
  • Quarterly: exterior windows (interior side)
  • Annual or semi annual: full exterior window service

Break Room and Kitchen

  • Daily: wipe counters, tables, chair seats
  • Daily: clean coffee maker drip area
  • Weekly: clean refrigerator interior (label and discard old food)
  • Weekly: deep clean microwave
  • Monthly: detail clean range/oven

Day Cleaning vs Night Cleaning

Many offices have shifted to day cleaning (during business hours) instead of overnight cleaning. Benefits:

  • Visible cleaning signals safety and care to occupants
  • Lower energy costs (HVAC and lights stay off at night)
  • Better security (no after hours building access)

Requires quieter equipment. CleanMax and Tornado make commercial vacuums in the 65 to 70 dB range that are quiet enough for occupied spaces.

Documentation

  • Daily checklist signed by the cleaner
  • Monthly inspection by a supervisor
  • Quarterly client review meeting
  • Photo log of completed work

Common Mistakes

  • Same vacuum on every account (HEPA is required for healthcare and recommended for offices)
  • Skipping touch point disinfection (back to pre 2020 standards)
  • No consistent restroom restocking schedule
  • Cleaners untrained on chemistry safety
  • No documentation of completed work

An office cleaning program built on the right frequency and equipment runs on autopilot once the schedule is set. The investment is in the systems, not the chemistry. With clear checklists, HEPA vacuums and EPA registered disinfectants, an office stays healthier and looks better between visits.
